1. One-paragraph summary
Your Voice Card is your property. We do not use it to serve any other customer. You can export the Voice Card and the underlying corpus at any time. You can delete the Voice Card and the underlying corpus at any time. We complete deletion within 30 days. This commitment is contractual, not aspirational.
2. What a Voice Card is
A Voice Card is the structured representation of your masthead's writing style, derived from a corpus of articles you have already published. It contains:
- A stylometric fingerprint (sentence-length distribution, vocabulary richness, function-word frequencies, register classification).
- Signature phrases - the recurring 2-5 word constructions characteristic of your masthead.
- Headline patterns (question / number / curiosity-gap / direct-claim / scene-setting / quote distributions).
- Structural shapes (the section sequences your most-used story types follow).
- Optional: section overlays (sports voice vs. obituaries voice vs. editorial voice within the same masthead).
3. Ownership
The Voice Card is the Customer's property. VartaForge holds a non-exclusive, revocable licence to use the Voice Card for the sole purpose of operating the Service for the Customer. We do not license the Voice Card to anyone else. We do not copy or re-purpose it for any other use.
The corpus you upload remains yours. We hold a non-exclusive, revocable licence to use the corpus solely to build and refresh the Voice Card for your account.
4. No cross-tenant use, ever
This is the strongest commitment in this policy. We will not:
- Use one customer's Voice Card, signature phrases, or corpus to serve any other customer.
- Train any cross-tenant model on Customer corpora.
- Aggregate Customer data into any shared dataset, anonymised or otherwise.
- Use the Voice Card or corpus to train, fine-tune, or evaluate any general-purpose model we sell or open-source.
Per-tenant generation is enforced at the storage and application layers. The Service is architected so that cross-tenant leakage is a deployment-time impossibility, not a code-review check.
5. What we store, where, and why
- Corpus: stored in per-tenant storage, encrypted at rest. Used to (a) build the initial Voice Card and (b) refresh the Voice Card on Customer-triggered re-training.
- Voice Card derivatives: the fingerprint, signature phrases, headline patterns. Stored in the per-tenant database row. Used for prompt construction at generation time.
- Generated articles: stored in per-tenant storage, attributed to the Customer's organization.
- Generation logs: prompts and outputs for the last 90 days, retained for debugging, error triage, and abuse review. Older logs are anonymised and aggregated for service-quality analysis.
6. Deletion
You can delete:
- The Voice Card alone - removed from primary stores within 24 hours.
- The Voice Card + the corpus - both removed from primary stores within 24 hours; backup purges complete within 30 days.
- Your entire organization's data - everything removed within 30 days.
Deletion is final. Once we have purged from backups, we cannot restore the Voice Card. We always confirm deletion in writing before initiating the purge.
7. Export and portability
You can export, on demand:
- The corpus you uploaded (originals).
- The Voice Card derivatives (fingerprint JSON, signature-phrase list, headline-pattern distribution, structural shape catalogue).
- All generated articles, with metadata.
Exports are in open, documented formats (JSON, plain text, Markdown). No proprietary lock-in.
8. Audit and verification
Customers on the Daily and Network plans can request a written attestation of compliance with this policy on a quarterly basis. Network plan customers may engage an independent auditor at their own cost; we will provide reasonable cooperation.
